EHS Application for PackChem Ltd.

1. Introduction

1.1 Purpose

This document outlines the design for an Environmental, Health, and Safety (EHS) application tailored to the needs of PackChem Ltd., a chemical packaging company with 300 employees. The application aims to streamline EHS processes, improve compliance, and foster a safer work environment.

1.2 Scope

The EHS application will cover key areas of EHS management, including incident management, risk assessment, permits to work, audits and inspections, training management, chemical management, waste management, and emergency response. It will also include features for compliance tracking, performance monitoring, and reporting.

1.3 Target Audience

This document is intended for PackChem Ltd. management, EHS personnel, IT staff, and any other stakeholders involved in the development and implementation of the EHS application.

2. Application Design

2.1 User Interface (UI)

The application will have an intuitive and user-friendly interface that is easy to navigate and understand. It will be designed to be accessible to all users, regardless of their technical expertise.

2.2 Modules

The EHS application will be modular in design, with the following key modules:

  • 2.2.1 Incident Management:
    • Record and track incidents (near misses, injuries, spills, property damage).
    • Conduct investigations, root cause analyses, and implement corrective/preventative actions.
    • Generate reports and analyze incident trends.
  • 2.2.2 Compliance Tracking:
    • Centralize regulatory requirements, deadlines, and documentation.
    • Track compliance status and identify areas for improvement.
    • Generate reports on compliance performance.
  • 2.2.3 Risk Assessment:
    • Conduct and document Job Hazard Analyses (JHAs) and risk assessments.
    • Assign risk levels and determine mitigation measures.
  • 2.2.4 Training Management:
    • Develop, deliver, and track employee EHS training programs.
    • Maintain training records and certifications.
    • Send reminders for refresher training.
  • 2.2.5 Permits to Work:
    • Create and manage permits (confined space entry, hot work, etc.).
    • Ensure proper approvals and authorizations before work commences.
  • 2.2.6 Chemical Management:
    • Maintain a chemical inventory with Safety Data Sheets (SDSs).
    • Track chemical usage and storage.
    • Generate reports on hazardous materials.
  • 2.2.7 Waste Management:
    • Track hazardous and non-hazardous waste generation and disposal.
    • Ensure compliance with environmental regulations.
  • 2.2.8 Emergency Response:
    • Provide access to emergency procedures and contact information.
    • Facilitate communication and coordination during emergencies.
  • 2.2.9 Performance Monitoring and Reporting:
    • Monitor key performance indicators (KPIs) related to EHS.
    • Generate insightful reports on EHS performance.
    • Create dashboards to visualize data and identify trends.

2.3 Mobile Accessibility

The application will be accessible on mobile devices (smartphones, tablets) to facilitate reporting and data access in the field.

2.4 Integration with Existing Systems

The application will be integrated with existing systems at PackChem Ltd., such as HR, payroll, and maintenance systems, to streamline data management and ensure consistency.

3. Database Framework

3.1 Tables

The database will include the following tables:

  • 3.1.1 Users: User ID, name, role, contact information, department, training records.
  • 3.1.2 Incidents: Incident ID, date, time, location, type, description, witnesses, investigation details, root cause, corrective actions, involved employees.
  • 3.1.3 Safety Data Sheets: SDS ID, chemical name, manufacturer, hazard information, associated chemicals.
  • 3.1.4 Training Records: Training ID, user ID, course name, date completed, certification, expiry date.
  • 3.1.5 Compliance Documents: Document ID, document type, date, expiry date, status, associated regulations.
  • 3.1.6 Risk Assessments: Risk ID, hazard, risk level, control measures, associated tasks/jobs.
  • 3.1.7 KPIs and Metrics: KPI ID, user ID, metric name, value, date recorded, target value.
  • 3.1.8 Notifications and Alerts: Notification ID, user ID, message, date sent, related event.
  • 3.1.9 Chemicals: Chemical ID, name, CAS number, hazards, storage location, usage data, associated SDSs.
  • 3.1.10 Waste Management: Waste ID, type, generation date, quantity, disposal method, manifests, associated regulations.
  • 3.1.11 Permits: Permit ID, type, work location, authorized personnel, validity period, approval status, associated tasks.

3.2 Relationships

Relationships between tables (one-to-many, many-to-many) will be established to link related data (e.g., employees involved in incidents, chemicals used in a process, training assigned to employees).

3.3 Data Security

Security measures (encryption, access controls, regular backups) will be implemented to protect sensitive data.

4. Technology Considerations

4.1 Cloud-based Platform

A cloud-based solution will be considered for scalability, accessibility, and automatic updates.

4.2 User-Friendly Interface

An intuitive and user-friendly interface will be designed to encourage adoption and data entry.
